Operator and authorized use

Heart Health Center, LLC provides the HHC operations application, including HHC Invoice and Payment Sync, to users it authorizes. HHC grants each authorized user a limited, nonexclusive, nontransferable permission to use the application for the HHC business activities assigned to that user. This permission ends when HHC withdraws access or the user’s authorized relationship ends.

Access is role-specific. A supplier may use only its assigned supplier workflows. A provider may use only the workflows assigned to that account. Staff, bookkeepers, pharmacy reviewers and administrators must act within the permissions and professional responsibilities assigned to them. Access to the app does not grant a professional license or authority to bind HHC beyond the user’s actual authorization.

Account and information responsibilities

Use your own authorized account, protect sign-in credentials and verification codes, and report suspected misuse promptly. Do not share accounts, impersonate another reviewer, bypass permissions, access another organization’s information, upload malicious material or disrupt the service.

Submit accurate information and only documents you are authorized to provide. Enter the minimum necessary personal or patient information and follow HHC’s privacy and security procedures. Do not enter full patient charts, unnecessary patient identifiers, payment-card security codes or online banking credentials into operational comments or AI prompts.

Review and operational decisions

Inventory suggestions, price comparisons, expiry warnings, AI readings, reports and calculated amounts assist HHC’s work. Authorized users must verify the relevant source, product identity, quantity, unit, price, lot, expiry date and receipt evidence. Actual stock counts, clinical checks and required professional approvals remain necessary.

Recording a form or uploading an invoice does not prove that goods arrived, that an invoice was approved or that money was paid. Approval and review records identify the authenticated user who performs the action. Users must not approve on behalf of another person without appropriate authority and an accurate audit record.

QuickBooks connection

An authorized administrator may connect only HHC’s intended QuickBooks company and activate automatic transfers. When enabled, the integration sends eligible invoice copies to QuickBooks’ attachment list and reads relevant supplier, bill, payment and credit information. It does not create QuickBooks bills, send money, initiate a bank transaction or change a QuickBooks payment.

HHC administrator approval and bookkeeper review precede bill matching. The bookkeeper checks for an existing bill, expense, credit or payment before creating a missing bill once in QuickBooks. HHC links an existing bill only when the supplier mapping, invoice number, date, currency and amount match. A mismatch or ambiguous result requires accounting review.

Status reflects the last successful check, which is displayed in the app. A zero bill balance can result from credits as well as payments. Verify recent activity in QuickBooks before acting. Historical manual HHC payment records and synchronized QuickBooks status are separate records and must not be added together as separate expenses or payments.

Disconnecting the app stops future synchronization and revokes its access. Existing HHC, Microsoft and QuickBooks records remain subject to their applicable retention and correction processes. HHC’s connection to a third-party service does not make that service part of this license agreement.

Privacy and service providers

Use of operational information is described in the HHC Operations App Privacy Policy. Third-party services, including Microsoft, Intuit and configured hosting or AI providers, have their own applicable terms. QuickBooks and Intuit are third-party products; this application is operated by HHC and does not imply Intuit’s sponsorship or endorsement.

Ownership and availability

HHC and its licensors retain their applicable rights in the application and its materials. Users retain any rights they otherwise hold in submitted material and give HHC permission to process it as needed for authorized HHC operations and connected services. This agreement does not transfer ownership of third-party software, supplier materials or accounting records.

Maintenance, provider outages, network failures and rejected requests may interrupt the app. Users must check whether a submission succeeded and use HHC’s established contingency procedures when the app is unavailable. HHC may suspend access to protect information, investigate misuse or end an unauthorized relationship, while preserving required records.
